SharePoint Online Using Copilot in SP to build Dashboards is Jaw Dropping

I have begun to experiment with the ability to use the Copilot agent in SharePoint to build dashboards off of SharePoint data. I am completely blown away. Building these kind of pages is otherwise very time consuming. Using this approach you can make live data dashboards just through basic prompts.

If you don't yet know how much of a game changer this is, check out some of these videos:

SharePoint Online SharePoint Online migration tool agent (on AC) - 'Cannot scan'

[NOTE: This issue seems to have been resolved on/around 2026/10/08. See the UPDATES below]

Hello, folks

We have been using SPO mig tool (the one controlled from SPOAdmin Center) over a year, and was working well.

But recently, the agent status keeps saying 'cannot scan'.

We checked firewall rules, re-installed agent (we have done it multiple times, so we are pretty used to refreshing agent), but no luck in finding any blockers.

Agent installation went fine, and there was no issues on the connecting to SPO & file share during installation.

Any idea on what would cause the 'Cannot scan' status?

Thanks for your insights in advance!

[UPDATE] I just test-ran after I found this. Both migration and scan operations were completed successfully. So if your working agent shows 'cannot scan' out of blue, you can test before pulling your hair.

[UPDATE 2] Based on the folks who shared their situations, (Thanks all!) the mig agent shows following symptoms:

0..Assuming your agent worked fine until recently (prior to 9/28 or so) 1. It still says 'Agent connected' on header 2. Agent says 'Cannot scan' status 3. The menus under [Scans] are grayed out. - Meaning you can't add source path. 4. The menus under [Migrations] still work as expected, including 'scan only' (why...)

So FOR YOUR SANITY, just go ahead test with small-scale data migration/scan via [Migration] just to check the core functionalities still work.

[UPDATE 3] It looks like this issue has been fixed around 2026/10/08 based on comments shared here, and my environment.

Agent status = connected

'Scan' menus are active now.

Thank you everyone for sharing your info and insights. It is greatly appreciated!

SharePoint Online Infopath replacements - urgent**

I am hoping to get some advice about infopath replacements. I've just started a new role, and noticed that the company still has some business-critical forms on infopath. I knew infopath was retiring/ I thought was already retired. I see now it's retirment date is tomorrow! 07/14/2026
Does anyone know of any good replacements?

SharePoint Online SharePoint Tenant locked to read-only after being over capacity. More storage purchased but still locked 24hrs later

Our SharePoint online/365 tenant has been over storage capacity for a while. On Monday the tenant was locked in to a read only state so we bought enough storage to clear the overage and leave some headroom (approx 1% free)

Unfortunately the tenant is still locked in read only mode 24hrs later. We've reached out to MS support but aren't getting anywhere

Is there a way to force the tennant to unlock now that there's storage? Or do we need a certain amount of free space on the tenant?

EDIT: After almost all of the 48hrs passed we have got write access back to our SharePoint sites. I'm not sure if this was thanks to the extra data we purchased or our moving old/unused data to an individual OneDrive account to free up space internally.

Either way, be wary of any tenants running low spare storage!

SharePoint Online File Server to SharePoint Migration

I know this is a very touchy subject for many here, I ask you to please not comment "SharePoint Online is not a file server" and only provide valuable insight and concerns, things I should be aware of that I may have missed or not planned for.

I am currently planning on migrating a file server with almost 1 million files and folders totaling about 1.4 TB of data for about 45ish users.

I have 2.5TB of data so I have a 1tb as spare. There is a 1 year retention policy set so I plan to have versioning controls to remove any unnecessary versions aging a year or older. If I noticed the usage growing exponentially, then I plan to turn off the retention and rely on 4rd party Microsoft backup tool like Veeam.

I plan to migrate the file server into two different SharePoint sites. Majority of the users will need access to both, some will be either or. Creating multiple sites for each category would be difficult here, as this company doesn't have teams like, HR, Marketing, Sales, IT, etc.
(I proposed the idea of having a 3rd site and having that act as an archive and won't be synced to OneDrive, but that is still in the talks)

There are NTFS permissions that were set using security groups on-prem AD, including our users being created there, then synced to Entra using Entra Connect. I already migrated a few files and folders and preserved the permissions to be migrated, and so far did not see any issues with permissions, users that shouldn't be able to see files/folders can't see or access them and vice versa.

File path count is tricky here because the users really love making sentences for their file names. Here I planed to take a scan report and see files and folders with paths longer than 300 characters and use a script to update files and folder names with abbreviations (ex. and -> &, account -> act, Finance -> Fin) I have a script ready for this already and tested it and worked fine. I already migrated HR files and folders and used the script and worked without issues.

My main concern now is after moving everything to SharePoint, and I have the Intune configuration set to automatically sync the SharePoint site with OneDrive, Microsoft Docs mentions that it supports 1mill files, but performance issues might be be noticed after 300K items.

Is there anyone here that have already migrated this kind of setup already? Our users have 32GB Ram, i7 processor and NVMe storage. Should we be okay?

There also solutions like ZeeDrive and Cloud Drive Mapper, should I look into these to resolve performance issues in the case my users do experience them?

is there anything else I should be aware or concerned of that I may have missed?

SharePoint Online New HTML functionality

Hi folks!

I'm so excited that my tenant just received the update that allows embedding HTML files hosted in sharepoint. Previously, they only worked through the document viewer, but now the document viewer has an "embed link" in the menu which you can use to embed into a page. This is really, really handy for things like CoPilot/Claude made dashboards with direct connection to the REST API.

Has anyone heard if the plan is to allow adding HTML directly into pages? If it doesn't come with a ton of JS restrictions, that will be a nice replacement for the modern script editor webpart...

SharePoint Online what are small IT teams on M365 actually using for tickets these days?

Small shop, 5 of us doing IT for a few hundred users, all M365. Trying to figure out what people at our size actually run for a helpdesk because everything I look at is either overkill or per agent per month forever.

Also asking because I know at least two places that had some SharePoint based ticketing thing just stop loading in April when the add-in stuff got turned off, and they ended up on a shared mailbox again lol. One went to freshdesk, the other is still "figuring it out"

So far the answers I get are basically: shared mailbox, a sharepoint list someone built years ago that nobody wants to touch, freshdesk/zendesk/jira SM, one of the appsource ones (helpdesk 365, plumsail, steadypoint), or planner.

What I'm curious about

- what and why are you on and how long

- roughly what it costs you a year

- and does the per agent per month cost bug anyone else at our size or is that just me

Just want to hear what's actually working for people

Thx

SharePoint Online How much SPFx development are you still doing

I'm curious to hear from people working with Microsoft 365.

Are you still building new SPFx solutions regularly, or has most of your work shifted toward Power Apps?

If you're still using SPFx heavily, what are you mainly building with it — portals, business apps, web parts, dashboards, or something else?

Interested specifically in new builds, not just maintaining existing SPFx solutions.

SharePoint Online Currently working a SharePoint job, is there a future in this?

Some context about my background I'm in the Military however, since I've been dealing with noise induced hearing loss, I've been out into an administration role. Currently, I'm the SharePoint Admin, I design sites, lists, do permissions and work with Power Automate.

Is there a decent future in working with SharePoint? What certificates/programs should I learn to upskill?

Honestly if there is any advice from people who do this for a living in the civilian world, I'm all ears.

SharePoint Online I hate SharePoint migrations

I simply cannot stand the prospect of taking part in SharePoint migrations. I don't like the work. I will not take positions that are primarily migration oriented. I enjoy developing, not carting stuff from one platform to another.

Does anyone else feel this way?

SharePoint Online Things nobody tells you before migrating a file server to SharePoint Online

Almost every file server migration I've been involved with hits the same wall around week three. The files are technically "in SharePoint", but nothing works the way people expected and IT is fielding five times more tickets than before the migration.

The biggest issue isn't technical, it's that nobody mapped the information architecture before moving anything. A folder structure that made sense on a file server becomes kind of a disaster in SPO if you don't rethink how sites, libraries, and permission groups should actually work. Permissions that were set at the folder level don't translate cleanly, and you end up with people seeing things they shouldn't or locked out of things they need.

Two things break almost every time: Excel files with linked references (file paths change and nobody warned the users), and permission inheritance. We've seen orgs spend weeks untangling that after go-live.

The other thing that surprises people is storage. Migrating 10TB from a file server doesn't mean you'll use 10TB in SPO. Version history, Teams files, OneDrive sync conflicts... it adds up fast and nobody budgeted for it.

Curious what patterns others have run into. Is the "copy everything first, clean up later" approach ever actually followed through, or does the cleanup phase always get quietly cancelled?

SharePoint Online How to learn SharePoint as a total beginner?

My question is more about literally where and how can I access SharePoint to learn it versus just learning how to use it.

I'm currently in the middle of a career transition, from libraries to records management, and SharePoint has come up as a super important program to learn. However... I have no idea how I am supposed to learn how to use it! Where should I begin?

Right now, I don't have access to it via my job (we're not a Microsoft organization), so that's out!

What would be the best strategy for someone like me? A personal Microsoft365 plan doesn't seem to offer SharePoint. But it seems that a Microsoft 365 Business Basic has SharePoint. Am I just SOL until I get hired somewhere that will train me in SharePoint (which doesn't seem realistic, considering how many other candidates will already know how to use it).

SharePoint Online End of custom scripting in SharePoint Online?

Summary

Microsoft will disable creation of classic publishing sites and pages in SharePoint Online starting March 1, 2027, and make existing classic user-created pages read-only by October 1, 2028. Custom scripting will be disabled. Organizations should assess usage and plan phased modernization to modern SharePoint experiences.

SharePoint Online OnPrem to Sharepoint

I know I’m not the first person to attempt this setup, and a lot of what I’ve put together has come from other users’ posts. I’m hoping someone can point out what I’m missing or doing incorrectly.

Our Environment

We have a hybrid environment:

  • On-premises Active Directory syncs to Microsoft Entra ID
  • Windows devices are deployed using Windows Autopilot
  • Intune manages device configuration, applications, and shortcuts
  • Users and groups are managed through AD and synchronized to Entra
  • We currently have an on-premises file server
  • File server folders use AD security groups to control access
  • Groups are generally based on data access requirements, rather than departments
  • All users have OneDrive, and OneDrive automatically signs them in when they log into Windows

We are moving away from the traditional on-prem file shares and want the experience to be as seamless as possible for users.

Example: IT Department

I'll use our IT folder as an example.

Currently, we have an on-premises folder:

\\FileServer\IT

Access is controlled by an AD security group containing our 25 IT users.

I created a SharePoint site called:

IT-SP

The 25 IT users are members of the SharePoint site. They can:

  • Open the SharePoint site
  • Access the documents/folders
  • Create documents/folders
  • Delete documents/folders

So the SharePoint permissions are working correctly.

The problem is that I do not want to send 700+ users individual SharePoint links and expect them to access their department/data shares that way.

What I Want

I want the transition to be as transparent as possible for users.

Ideally, when a user logs into their Windows computer:

  1. OneDrive automatically signs them in.
  2. Their appropriate SharePoint libraries automatically sync.
  3. The SharePoint library appears in File Explorer in the left-hand navigation tree.
  4. A drive is mapped to the SharePoint document library.
  5. The mapped drive would appear as something like: T: Department Share
  6. Access would be based on new -Primary groups I create based off the AD groups.

I want Intune to manage as much of this as possible.

What I've Tried

I created an Entra/Intune group specifically for the IT configuration:

IT-Primary

I then created an Intune Configuration Profile under:

Intune → Devices → Windows → Configuration

Windows 10 and later → Settings Catalog

The policy contains:

Configure team site libraries to sync automatically (User)

I've entered the SharePoint site/library name and value for the IT-SP SharePoint library. I verified the value against what OneDrive uses when manually syncing the SharePoint library.

I've also enabled:

  • Silently sign in users to the OneDrive sync app with their Windows credentials
  • Start OneDrive automatically when signing in to Windows (User)
  • Use OneDrive Files On-Demand
  • Prompt users when they delete multiple OneDrive files on their local computer (currently set to 20 files)

The policy is assigned to IT-Primary and Intune reports that it successfully applies with no errors.

Where It Fails

The SharePoint library does not automatically sync.

It also does not appear in File Explorer.

If I open OneDrive on one of the test users and go to:

OneDrive → Settings → Account

The IT-SP SharePoint library isn't listed.

However, if I manually open the IT-SP SharePoint site and click Sync, it works immediately. The library then appears in OneDrive and File Explorer as expected.

So I know the SharePoint permissions and OneDrive synchronization itself are working. The problem seems to be that the Intune "Configure team site libraries to sync automatically" policy isn't triggering the sync.

I've waited more than 48 hours and confirmed that the policy is applied to the test users.

Mapping the SharePoint Library

The second part of the project is to map the SharePoint document library as a drive.

I created an Intune Remediation that runs hourly and attempts to map the SharePoint document library as:

T: Department Share

The remediation currently fails because the SharePoint library isn't being automatically synced first.

I'm assuming the drive mapping will work once the SharePoint library is successfully synchronized, but I haven't gotten that far yet.

My Questions

Has anyone successfully done something similar?

Specifically:

  1. Has anyone successfully used Intune's "Configure team site libraries to sync automatically" setting to automatically sync SharePoint libraries for users?
  2. Is there something specific about the SharePoint URL/library ID/value that needs to be configured differently?
  3. Is there another Intune policy or configuration that needs to be in place first?
  4. Is mapping a SharePoint/OneDrive library to a drive letter such as T: a reasonable approach, or is there a better way to give users the familiar File Explorer experience?
  5. Is there a better way to have the SharePoint library automatically appear in the File Explorer navigation tree?
  6. Would you handle this differently using NinjaOne, which I also have available?

The main goal is to make this as transparent as possible to users. I have 700+ users, so I'm trying to avoid manually sending people SharePoint links or requiring them to open SharePoint and click Sync themselves.

I'd prefer to manage the entire process through Intune if possible, but I'm open to other approaches if there's a better way.

What am I missing?

SharePoint Online Why the hell is SharePoint SO difficult to navigate?

Our company transitioned to sharepoint years ago but the struggle to find information is SO REAL.

  • There is no top layer where I can search through sites. Apart from the "Explore" page It would probably not even help because I have no fkin clue what kind of object or what it's called I am currently in

  • The URLS are completely useless for navigation

  • So many search fields where it's not clear what it even searched through

  • Shared Stuff, additionally to completely useless ids or numbers for sites, puts also "shared files" into the URL with no way to fix broken URLS

I hate this tool soooo much.

Why has it no clear structure? Why is it a must to bookmark every page in order to not loose saiad page in the Microsoft Nirvana?

There are three options:

  1. My company fucked up the structure as much as possible

  2. SharePoint is as chaotic, scattered and shitty as I believe it is

  3. I am a donkey

SharePoint Online Project Online is gone. Do you still want project management inside SharePoint?

I've been working with SharePoint for 20+ years and spent the last few years on Project Online as a government contractor. Now that Project Online has retired, I'm curious how teams here are handling project management.

Do you still feel the need for it inside SharePoint Online? Things like project status on a site page, my tasks, timeline, issues and risks. Or are you fine with Lists, Planner or a separate tool?

I've been building some SPFx web parts for this, but they need a bit of admin setup (App Catalog plus API permission approval). In a lot of orgs that's where it gets stuck. Has anyone managed to package something like this with Power Apps or Power Automate so a site owner can set it up without an admin? Where did you hit limits?

Looking for your ideas.

SharePoint Online Shared Drive to SharePoint Online Migration

Hey everyone,

I'm leading a project to migrate a large on-prem shared drive environment (multiple departmental and service-line file shares) to SharePoint Online, and I'd love to learn from people who've already been through it.

A few things I'm looking for advice on:

  • Biggest mistakes you made or saw others make
  • Lessons learned during planning and discovery
  • How you structured SharePoint hubs, sites, libraries, and permissions
  • Approaches for handling departments with unique security requirements
  • User adoption and change management strategies
  • File inventory, cleanup, and ownership validation processes
  • Recommended migration tools
  • Governance standards you wish you'd implemented from day one
  • Training resources, books, blogs, videos, or courses you found valuable

We're currently in the planning phase and trying to avoid creating a structure we'll regret later. If you've done a shared drive to SharePoint migration at scale, what would you do differently if you could start over?

Any tips, resources, screenshots, diagrams, or war stories would be greatly appreciated.

Thanks!

SharePoint Online Microsoft Copilot found a decade of our oversharing in about a week.

we ran a pilot group expecting complaints about accuracy when we turned on copilot, but it turned into the most effective permissions auditor we've ever run, and entirely by accident at that.

what happened was someone asked it something totally normal about budgets and it pulled numbers from a finance folder that had been shared to "everyome in the org" during a reorganisation. this means that if your account can reach a file, copilot will read it, summarise and quote it back in the chat. I imagine this would translate to it auditing ten years of our sharepoint sharing.

If you made it past the pilot stage, how did you get through cleaning up the oversharing and did you find a way to see what people are feeding the non copilot AI tools?

SharePoint Online Automating Excel Link Updates During SharePoint Migration

Hi everyone,

I’m an Infrastructure Engineer and have been assigned a project to migrate an on-prem file server to SharePoint Online. I have basic knowledge of SharePoint Online and Microsoft 365, but I haven’t dealt with Excel workbook dependencies during a file server migration before.

We have a number of Excel files with interlinks or external dependency files with VBA and workbooks containing external links to other files/server paths.

I’m trying to understand how people normally handle this:

  • Before migration, is there a way to scan the file server and identify workbooks with external links/VBA and create an inventory?
  • After migration, can these links be automatically updated to the new SharePoint locations?
  • Are there any PowerShell/scripts or third-party tools that can automate this, or is it mainly a manual process?

We are trying to determine whether the practical approach is:

Manual → Script/Automation → Third-party tool → Hybrid approach

rather than discovering broken links only after users start opening the migrated files.

Would really appreciate any advice or real-world experience from anyone who has handled a similar file server → SharePoint Online migration with workbook link and VBA

SharePoint Online Sharepoint for company intranet/comms

The company I work at (approx 200 employees) are seeking out a new intranet. We currently pay for an external platform where some of the links direct back to sharepoint pages anyway and things aren't well synchronised (such as screenshotting a calendar and uploading it to the intranet). It makes sense to move to sharepoint going forward but my concern is whether its going to be user friendly.

We currently use the intranet for blogs/rewards/health & safety updates etc. And we want multiple users to be able to blog on selected sections if they wish.

My question is, has anyone successfully incorporated sharepoint as a successful intranet for communications in their business? Or from your experience, is it better to pay for an external intranet platform for ease.

SharePoint Online 'Unable to share right now' when using COPY LINK in SharePoint and OneDrive

Yesterday staff started to report an issue when they use COPY LINK - they get the following error:

Unable to share right now
We're unable to complete this task. If this happens again, copy the technical details and contact support.

Technical details
The sharing operation filed due to an unexpected failure condition.

The weird part is just how random it is.

The error is rather inconsistent - happening in OneDrive and across both classic and modern sites, happening to files, pages, and list items...but not all of them.

I can use COPY LINK on a .pdf file just fine, then do it again on a .pdf file right below it and get the error.

No Service Health notices or anything.

We've put in a ticket with MS, but thought I'd hit up the community to see if anyone else is experiencing the issue and/or has experienced the issue.

https://imgur.com/a/IKYW3ng

Thanks in advance!!

UPDATE 10/01/26 12:36PM PST: I think I found a pattern. In Manage access, the files where Copy link works already have a link under the Links tab. The ones that fail have no links at all. So it looks like reusing an existing link works but creating a new one fails.

UPDATE 10/01/26 1:17PM PST: We are GCC license

SharePoint Online Migrating records in Sharepoint without going clinically insane?

Have about 5000 records on one Sharepoint and need to copy them over to another Sharepoint. They all include static values, multiple lookups, and attachments. I can't find any way to do this in Access or Excel, and my privileges to Power automate are restricted by the IT manager who has already tried gone insane because the other team won't share their authentication details. My hope was to dump them into a CSV then import them into the new List and just spend the next 4 weeks manually uploading all the files to each individual record - but even that's not possible as while that replicates the schema, the lookups are ignored. And of course you can't just copy documents like you would in explorer because it doesn't carry any of the metadata. Any clue how to do this without incurring too much trauma?

SharePoint Online How to prevent users from extracting SharePoint list data in Excel/Power Query while keeping CRUD access in Power Apps?

Hi everyone,

I'm facing a security/architecture challenge with a Power Apps canvas app using a SharePoint list as its backend.

The Goal: Users must be able to read, create, and maintain records through the Power Apps application. However, they should not be able to extract the raw table directly (e.g., via Excel Get Data > From SharePoint List / Power Query) or have the list indexed by Microsoft 365 Copilot.

The Issue & What I've Checked So Far:

  1. Direct Permissions: Granting standard Read/Contribute permissions allows users to query the entire list endpoint using Excel / OData.
  2. Custom Permission Levels: Disabling "Use Remote Interfaces" breaks the Power Apps connector (403 errors). Disabling "Client Integration Features" only hides the export button, but doesn't stop Power Query.
  3. Item-Level Permissions: Only works if users strictly view their own records, which is too restrictive for collaborative maintenance.
  4. Power Automate Proxy Pattern: Running flows with a service account works, but introduces overhead and makes native Created By / Modified By tracking more complex to maintain.

My Questions:

  • Is there any clean, lightweight pattern in SharePoint to restrict direct querying without breaking Power Apps?
  • For those who had this exact requirement, did you end up using Dataverse for Teams, or did you stick with SharePoint via elevated proxy flows?

Any advice, battle-tested workarounds, or best practices would be greatly appreciated!
